Travelling to Germany for work meetings? Here's the visa process

Germany remains one of Europe's leading destinations for international trade, investment and corporate networking. For professionals travelling to the country for meetings, conferences, trade fairs or other business-related activities, obtaining the correct visa is often the first step.

The Germany business visa is a short-stay Schengen visa that allows eligible travellers to visit Germany for business purposes for up to 90 days within a 180-day period. Because it is a Schengen visa, holders can also travel to other countries within the Schengen Area during the validity of the visa.

Who needs a Germany business visa?

Citizens of countries that do not have a visa-free agreement with the Schengen Area must obtain a business visa before travelling to Germany. This includes applicants from countries such as India, Pakistan, Egypt, China, the Philippines and Thailand.

Travellers from more than 60 visa-exempt countries, including the United States, the United Kingdom, Australia, New Zealand and Japan, can generally enter Germany for short business trips without a visa, provided their stay does not exceed 90 days.

However, visa-free travellers should be aware that Germany plans to introduce an electronic travel authorisation requirement for short visits in the future, meaning travellers may need to obtain pre-travel approval before departure.

What activities are allowed?

The visa is designed for temporary business visits rather than employment. It can be used for attending meetings, conferences, seminars, trade fairs, networking events, investment-related discussions and short-term business training programmes.

It does not permit travellers to take up employment or engage in long-term work activities in Germany.

How to apply

Applicants must schedule an appointment with a German embassy, consulate or an authorised visa application centre. In many countries, Germany works with service providers such as VFS Global and TLScontact to collect applications and supporting documents.

The process generally involves completing an online application form, booking an appointment, gathering the required documents and attending an in-person appointment.

At the appointment, applicants submit their documents, provide biometric information and pay the visa fee. The application is then forwarded to the German diplomatic mission for review and a final decision.

Documents required

A complete application is critical for a successful visa outcome.

Applicants must submit a signed visa application form, a passport that remains valid for at least three months beyond the intended return date, and two biometric photographs.

Proof of accommodation, such as hotel reservations, and travel arrangements, including return flight bookings or itineraries, must also be provided.

Travel health insurance is mandatory, while applicants must also show proof of sufficient financial resources through bank statements or sponsorship documents.

One of the key requirements for a business visa is documentation linked to the purpose of travel. Applicants must submit a letter from their employer detailing their position, salary, date of employment and the reason for travelling to Germany.

In addition, a formal invitation letter from the German company, organisation or business partner hosting the visit is generally required. The invitation should explain the purpose and duration of the trip and be addressed to the relevant German diplomatic mission.

The visa costs €90, although final approval, duration of stay and number of entries are determined by German authorities on a case-by-case basis. Applicants may receive a single-entry, double-entry or multiple-entry visa depending on their travel needs and supporting documents.
